Privacy Policy
1. Who we are
The data controller for the purposes of South Africa's POPIA and the UK GDPR is Traina LTD. You can reach us at hello@jointraina.com.
2. What we collect
- Coach applications: name, contact details, date of birth, location, qualifications, experience, bio, links, optional intro video, and the answers you provide on the application form.
- Account information: email address used to sign in, plus authentication tokens managed by our backend provider.
- Usage data: basic technical information such as IP address, device type, and pages viewed, used to keep the service secure and functional.
3. How we use it
- To assess your application and decide whether to invite you onto the platform.
- To contact you about your application, onboarding, and (once live) client bookings.
- To operate, secure, and improve the service.
- To comply with our legal obligations.
We do not sell your data. We do not use your application for advertising. We do not share your details with third parties except the service providers listed below, or when required by law.
4. Service providers
We use a small number of trusted providers to run the service: our hosting and database provider, our email delivery provider, and (where relevant) payment infrastructure. Each is bound by contract to only process your data on our instructions.
5. Cookies
We only use cookies and similar local storage that are strictly necessary to run the site — for example, to keep you signed in and to remember your cookie choice. We do not use advertising, analytics, or tracking cookies. If that changes in the future, we'll update this policy and ask for your consent first.
You can clear cookies at any time from your browser settings.
6. International transfers
Our infrastructure may store data in the EU, the UK, or the US. Where data leaves South Africa or the UK, we rely on the safeguards required by POPIA and the UK GDPR (such as Standard Contractual Clauses).
7. How long we keep it
Application data is kept for as long as your application is being considered, and for up to 24 months afterwards in case you reapply or we re‑open recruitment. You can ask us to delete it sooner.
8. Your rights
Under POPIA and the UK GDPR you have the right to access, correct, delete, restrict, or object to our use of your personal information, and to data portability. Email hello@jointraina.com and we'll respond within one calendar month. You can also complain to South Africa's Information Regulator or the UK ICO.
9. Security
We use industry‑standard measures (encrypted connections, access‑controlled databases, role‑based admin access) to protect your data. No system is perfect; if we ever discover a breach affecting you, we'll tell you promptly.
10. Changes
We'll update this policy when our service or the law changes. Material changes will be highlighted on this page before they take effect.
